Top 5 Workplace Ergonomic Mistakes (and How to Fix Them)

Introduction: Why Your Desk Might Be Hurting You

Do you finish your workday with a sore neck, tight shoulders, or a stiff lower back? You’re not alone. Prolonged sitting and poor workstation habits are some of the leading causes of musculoskeletal discomfort and workplace injury (Brukner & Khan, 2020).

At Flexout Health, we see how small ergonomic mistakes can lead to big problems over time, from chronic tension headaches to repetitive strain injuries. The good news? Most of these issues are preventable with simple adjustments.

Here are the top five ergonomic mistakes our physiotherapists and occupational therapists see, and what you can do to fix them today.

1. Sitting Too Long Without Moving

Humans aren’t built to sit for hours on end, but modern work often demands it. Extended sitting weakens core muscles and puts extra load on the spine and hips, increasing back pain risk.

The Fix:
Set a timer to stand up and move every 30–60 minutes. Even a one-minute walk, gentle stretch, or posture reset helps. Try alternating between sitting and standing if you have an adjustable desk.

Movement breaks improve circulation, reduce fatigue, and boost focus, a win for your body and productivity.

2. Poor Desk and Chair Setup

Your workstation should fit you, not the other way around. A poorly adjusted desk or chair can cause neck strain, shoulder tension, and wrist pain.

The Fix:

  • Keep the upper ⅓ of the screen at eye level and roughly arm’s length away.
  • Sit with feet flat on the floor and knees at roughly 90 degrees.
  • Ensure your lower back is supported, use a high back office chair, and recline slightly to 10 degrees.
  • Keep your keyboard and mouse close to avoid reaching forward.

A workplace Physiotherapist can perform a workplace ergonomic assessment to fine-tune your setup and prevent repetitive strain injuries.

3. Ignoring Your Posture

We often start the day sitting upright, only to poke our chin forward and slump by lunchtime. Rounded shoulders and forward head posture strain neck and upper back muscles.

The Fix:
Check your posture regularly.
Imagine a string pulling the crown of your head toward the ceiling, shoulders relaxed, chin slightly tucked, spine tall. The ergonomic setup also plays a huge role in the posture we adopt throughout the day. A good setup will encourage optimal posture without even thinking about it.

Strengthening exercises for your upper back and core can also improve endurance for maintaining good posture.

4. Repetitive Movements Without Rest

Typing, using a mouse, or scanning items all day can cause overuse injuries like tendinopathies or carpal tunnel syndrome. These issues develop slowly but can become chronic if ignored.

The Fix:
Take micro-breaks to stretch your fingers, wrists, and forearms. Alternate tasks when possible to vary movement and postures.

At Flexout Health, our hand therapists and physiotherapists provide tailored strengthening and stretching routines to protect against repetitive strain injuries.

5. Stress and Tension Holding

Did you know stress can make pain worse? When we’re under pressure, our bodies subconsciously tighten muscles, especially around the neck, jaw, and shoulders.

The Fix:
Incorporate deep breathing, gentle neck stretches, or a short walk during your day to release tension. Maintaining regular exercise and healthy posture habits can reduce this muscle “holding pattern”.

Bonus Tip: Get an Ergonomic Check-Up

When multiplied by 8 hours a day or 38 hours a week, even small workstation tweaks make a big difference. A professional ergonomic assessment by a Flexout Health physiotherapist can identify issues specific to your setup and job role, and suggest ways solve these problems.
